YOUR NEW OPPORTUNITY
 

Reporting to the CEO and serving as a key member of the Executive Team, the VP, Finance and Administration will collaborate with the national and in-country leadership teams and liaise directly with the Executive Team on administrative matters. In particular, the VP, Finance and Administration will develop and implement strategies and supervise activities around operations, financial management, human resources, board management, information technology and legal issues.

 

RESPONSIBILITIES

Directly supervise and oversee the global administrative team in their responsibilities, including the accounting and finance team, Global Administrative Officer, Global IT Manager and HR Manager; ensure coordination and compliance across all administrative functions globally.

 

Operations Functions

  • Oversee all Build Change operations, including contracts, audit compliant procurement and interactions with vendors and clients, insurance providers, landlords, and other vendors.

  • Review and develop Build Change Standard Operating Procedures, as needed, including Safety and Security Procedures for all programs, oversee implementation and serve as Main Security Focal Point.

  • Support the establishment of administrative offices in new country programs when needed.

  • Prepare quarterly Administration reports.

 

Finance Functions

  • Work with the Senior Management Team to ensure financial compliance and correct management of budgets.

  • Work with the Executive Team, Senior Management Team, finance, and administrative staff, to oversee the budgeting process including annual budgets, quarterly updates, pricing for proposals, and financial reports to clients, donors and Board of Directors.

  • Ensure established procedures across Build Change programs and locations.

  • Develop and manage the General Administration annual budget.

 

HR, Diversity, Inclusion, Well-Being and Team Building Functions

  • Supervise HR staff and oversee all HR matters for Build Change.

  • Assure Build Change performs within the laws and regulations at all locations of operation.

  • Manage and implement employee manuals and policies.

  • Oversee recruiting, onboarding and off boarding of all employees.

  • Supervise administrative team on the following:

    • Preparation of offer letters for new hires and contract agreements for outside contractors

    • Management of employee health insurance and emergency evacuation insurance for employees

    • Management of leave requests and time-off balances

    • Management and update employee benefit programs for staff

    • Diversity and Inclusion: Continue Build Change’s diversity and inclusion culture by expanding activities and quantifying metrics

    • Team Engagement and Well-being: Engage the full team through quarterly all-team meetings, evolve Build Change’s MPH (Mental and Physical Health) Days and policies, create an environment of motivation, care and closeness

    • Lead Build Change’s recruiting efforts and Succession Planning for staff, including volunteers and interns

    • Oversee annual performance and salary reviews

 

Governance and Board Management Functions

  • In coordination with the Executive Team:

    • Schedule board meetings

    • Review and oversee reporting packets compiled by the Global Administrative Officer for the Board of Directors

    • Prepare the Board Meeting Agenda

  • Lead in the development of the Administration and Finance strategy, and report of progress to the Board of Directors

 

IT and Communications Functions

  • Oversee IT Manager, consultants and contracts

  • Ensure efficient file and information management.

  • Maintain functioning, up-to-date IT systems including hardware and software, ensure data remains backed up, virus free, and secure.

  • Supervise purchase of and seek donations of IT equipment and services.

  • Maintain phone and internet systems and implement systems for remote communication.

  • Support all Programs in maintaining compliance with digital data security requirements for projects and applications developed, and client and partner information.

  • Work closely with the Engineering Program’s Technology Team to ensure Build Change website and domain security.

 

Legal Functions

  • Maintain and expand relationships with Build Change’s pro bono legal counsel, work with pro bono lawyers to obtain legal assistance on contracts, Intellectual Property, and other relevant matters.

  • Take proactive steps to protect Build Change’s current and emerging intellectual property

  • Manage all registrations and filings; support country program staff with in-country registrations

 

OUR IDEAL CANDIDATE:

 

You have:

  • 10 years’ minimum experience in Finance and Administration leadership, COO, CFO, or equivalent leadership position for an international non-profit or for-profit company.

  • Advanced college degree in Business Administration or something similar.

  • The ability to lead, make decisions, and delegate to ensure the organization sets and meets key objectives, grows and maintains financial stability, and achieves its mission.

  • The ability and desire to be a leader and a behavioral role model.

 

Your experience includes:

  • Maintaining oversight of budget and ensuring financial compliance.

  • Efficient operations oversight ranging from IT, legal, website, contracts and vendors.

  • Diversity and inclusion programming, wellness programming, implementation of anti-harassment and anti-bias policies and programs.

  • Managing decentralized teams, including team members in similar time zones and in very different time zones.

  • Working closely with communications, fund development, program implementation and advocacy team members.

 

You would describe yourself as:

  • Optimistic, flexible, humble, patient, and having a good sense of humor.

  • Fluent in English.

 

And maybe you also:

  • Have worked in the Caribbean, Latin America, Asia or emerging nations.

  • Speak Spanish or any of the languages spoken in our program countries.

  • Have experience with housing policy, engineering design, software development, and/or access to finance.
