Position Description

You will be responsible for the Administration and Finance management of the Latin America and Caribbean Regional Office located in Bogotá, Colombia, which includes annual budgeting processes, HR, day to day operations and ensuring our office administrative, fiscal and financial compliance with Build Change and local national policies and regulations of Colombia and other relevant program locations. You will lead the LAC Admin and Finance team, supporting our organization’s mission, ensuring a safe and organized operations in the office, for delivering our programs on the field.

This position reports to the VP of Programs, receives direction from the Global Head of Administration, and works closely with the Colombia Country Program Director. The LAC Administration and Finance Manager heads the regional office administrative team.

Responsibilities include:

Finance responsibilities (40%):

  • Supervise and ensure timely and accurate data entries in accounting systems (Global and Colombian), petty cash logs, bank logs and reports following Build Change and local standards;
  • Work with VP of Programs - Latin America and the Caribbean on the annual operating budget process and its quarterly updates
  • Assist in preparing budgets for proposals, grants and contracts, and in tracking execution.
  • Supervise and ensure quality of monthly financial reports as well as project reports when needed.
  • Communicate and coordinate financial information and present necessary reports to the headquarters of Build Change in the United States.
  • Lead the preparation and coordination of audits.

Administration responsibilities (60%):

  • Ensure Build Change Colombia’s compliance with Cámara de Comercio, DIAN and other Colombian Agencies
  • Create and implement annual and quarterly procurement plans.
  • Ensure due diligence in procurement and payments according to Build Change and local office standards.
  • Update and further develop internal policies in compliance with Build Change and local office standards.
  • Responsible for Office Asset Management: issuing/ handing over of equipment, asset movement, insurance of assets, asset disposal, maintaining asset status and maintenance of all organizational assets in the designated location/s.
  • Keep human resources and office information, inventory and documentation updated and organized.
  • Lead the implementation and compliance of the Health and Safety System for the Colombia Office.
  • Coordinate logistics for internal and external visitors, national and international travel, events and project site visits, if needed.
  • Supervise and manage the admin and finance team, including external consultants

Skills and Qualifications:

  • University degree in business administration, finance, or related field
  • Bilingual proficiency in written and spoken English and Spanish required.
  • A minimum of 5 years of relevant experience with a proven track record of successful management in finance and administration.
  • Specific experience and knowledge of Colombian administrative compliance environment is required, familiarity with USA and other international accounting and administrative practices as applicable to non-profits is an asset.
  • Experience managing teams.
  • Computer literacy a must. Accounting software skills is needed.
  • Experience working in development organizations and other non-profits is desirable.
  • Superior organizational skills, problem solving skills, attention to detail, and ability to prioritize and manage multiple tasks.
  • No ego, drama, or pessimism; the successful candidate will be flexible, humble, patient, solution-focused and have a good sense of humor.
